E-mail templates

Process Manager uses e-mail to make assignments, request approvals, and notify designated participants, in order to facilitate effective communication and continual progress toward completion of workflow processes. You can create and then apply customized e-mail templates to specific actions so every occurrence of that action will cause Process Manager to send a pre-formatted e-mail to the designated recipients.

E-mail templates serve an important role for providing the functionality that allows participants to approve or deny a change request directly from the e-mail itself. To enable this, you apply an e-mail template to an action and then select the Send e-mail using HTML option in order for the approval controls to appear in the e-mail message.

To create an e-mail template
  1. From the main menu, click Configure | Templates | E-mail.
  2. Click Add.
  3. Enter a name for the template.
  4. Select the type of action to apply it to.
  5. Select the Send e-mail using HTML option to enable approval controls to be provided in e-mails.
  6. Enter the display name for the sender of the e-mail.
  7. Enter a subject or title for the message.
  8. Enter the text or body of the e-mail. You can also right-click to insert a field mapping.
  9. Click OK.
  10. Click Close.
