You can use the Shortcut Content settings to control the size and functionality of Enterprise Vault shortcuts to suit your own requirements. The more details you store in a shortcut, the larger the shortcut becomes.
. Select one of the following:
. Select this to make Enterprise Vault generate shortcuts that do not contain any of the original message body.
. Select this to make Enterprise Vault generate shortcuts that contain all the original message body. Message text can be searched from within Outlook and can be shown in the Outlook Preview pane. Enterprise Vault still archives complete messages, with attachments.
When you retain the message body, the shortcut is larger than if you did not retain the body. For messages with no attachments, the shortcut is actually slightly larger than the original message.
. Select this and define your own settings to control precisely the content of shortcuts. If you do this, you must also copy the appropriate "LotusShortcutText.txt" file from the Enterprise Vault Languages folder to the Enterprise Vault installation folder.

. The shortcut can contain a colored banner at the top. You can modify the text that appears in the banner by editing the LotusShortcutText.txt file.
. Select this to make shortcuts contain links to the archived items. When a user clicks the link, the archived item is displayed. The link to the archived item requires approximately 250 bytes of storage.
If you choose not to include the link, Notes users can still open the archived item by double-clicking it. However, users with IMAP and POP3 clients are unable to open the archived item. In this case, the only way they can view an archived item is to use the Enterprise Vault Web Access application, so you would need to supply IMAP and POP3 users with the URL of the Web Access application.
. Use this to control precisely the size of the message body section of the shortcut.
. Specify the type of attachment list that you want Enterprise Vault to place into shortcuts, as follows:
. Include a list of archived attachments in shortcuts, but do not create links to the attachments. Users must open the complete archived item to access the attachments.
. Create a list of links to the archived attachments. Users can open individual attachments directly. Note that each link requires approximately 250 bytes of storage.
. Use this to determine the behavior when a user double-clicks a shortcut to an archived item.

. When you select this, double-clicking a shortcut displays the item's contents, in the original format. There must be a suitable file association so that the appropriate application can be used to display the item. If an item is a mail message, the user can reply or forward in the normal manner, even though the item has not been restored to the mailbox.
. When you select this, double-clicking a shortcut displays the shortcut properties form.
