Exchange Public Folder Policy: Archiving Rules

The Archiving Rules enable you to control how the Exchange Public Folder Tasks do their archiving.

Note:

If you change any of these settings, you must stop and restart each task that uses this policy for the changes to take effect.

Young items:

Never archive items younger than <age>. This setting gives an absolute limit on the age of items that are archived. The age refers to the amount of time since an item was last modified.

For example, if you set this to 2 months, the Exchange Public Folder Tasks never archive anything that has been modified in the last two months, regardless of any other settings you choose.

Large items:

Start with items larger than <size>. Select this and choose a size to make the Exchange Public Folder Tasks give priority to items that are larger than this size. The first items that an Exchange Public Folder Task archives are those that meet the Never archive items younger than <age> setting and that are larger than the setting of Start with items larger than <size>. If you select this, the task archives matching items in decreasing size order. In other words, the bigger an item is, the sooner it is archived.

This setting works well if, for example, you have users with a few very large items and a lot of small ones, because the large items are archived first. This is especially useful when you have a new Enterprise Vault installation, because it helps to get mailbox sizes down quickly.

Archiving Strategy:

Archive remaining items, taking oldest items first and stopping when.
- All items older than <age> are archived. Select this and set a time period to make the Exchange Public Folder Tasks archive remaining items that have not been modified for the length of time you set. You cannot set this age to be younger than that in Never archive items younger than <age>.
You can use Lock to prevent users from changing this setting in their Outlook clients.

Archive messages with attachments only. Enterprise Vault can be configured so that an item is archived only if it has an attachment, assuming all other archiving criteria are met. This is not the same as archiving attachments only.

Select this to restrict archiving to items that have attachments.

Example

Never archive items younger than:	2 months
Start with items larger than:	5 MB
Archive remaining items, taking oldest items first and stopping when:	All items older than 3 months are archived

These settings make archiving work as follows for Exchange Public Folder Tasks that use this policy:

Items that are larger than 5 MB and older than 2 months are archived first. Start with items larger than overrides Archive remaining items, taking oldest items first and stopping when, so the 3 month age limit does not apply to these large items. The setting Never archive items younger than prevents archiving of items that are younger than 2 months.
Remaining items that are older than 3 months are archived.
