This tab enables you to define conditions so that Enterprise Vault archives items according to the values in SharePoint document library columns.
For example, you can choose to archive the items that a particular person or group modified.
The archiving task scans the SharePoint library columns that you specify on this tab. The archiving task archives an item when the item matches all the criteria you specify in the rule.
. Select and specify a library type to restrict the rule so that it archives the items that are in that type of library.
. Select and then specify other settings as required to archive items according to the contents of library columns.
The scans of library columns are not case sensitive.
. Select this option if you want to scan a SharePoint column that is one of the following types:
. Specify the name of the SharePoint column that you want to scan. Use the display name that SharePoint shows in the library list.
Condition. Specify the condition, which can be any of the following:
. The text in the SharePoint column must match exactly the text that you specify for . You cannot use this option for multi-line text columns.
. The text in the SharePoint column must not match the text that you specify for .
. The text that you specify for must appear in the text of the SharePoint column.
. The text in the SharePoint column must start with the text that you specify for .
. The text in the SharePoint column must end with the text that you specify for .
. Select this option to scan a number column.
. Enter the name of the SharePoint number column that you want to scan.
Select the condition you want Enterprise Vault to use when scanning and then specify the value that you want to test. For example you can test that a number is greater than 2.5. You can select any of the following:
. The number column must have a value that matches the number that you enter for .
. The number column must have a value that does not match the number that you enter for .
. The number column must have a value that is greater than the number that you enter for .
. The number column must have a value that is less than the number that you enter for .
If a SharePoint number column has the option 'Show as a percentage' selected, the scan sees decimal numbers between 0 and 1. For example, to match a SharePoint column that shows '30%' you must search for '0.3'.
. Select and specify the required data to scan a date column.
. Specify the name of the SharePoint column that you want to use to select items to archive. Use the display name that SharePoint shows in the library list.
Condition. Specify the age constraint that you want to apply. For example, to archive items with a date that is less than two months ago, specify 'Within the last' and then '2 Months'. You can select 'Within the next' to specify dates that are in the future.
